A practical launch checklist from workspace setup to the first owned customer conversation.

Set up one channel and confirm who answers before inviting the whole team.

First-login setup

Workspace administrators see setup on their first login. The top counter and sidebar show the same five sections; the screen name beside the counter identifies the current part. Smart CRM contains Fields and CRM; Connect and automate contains Channels and AI agent; Team and launch contains Team, Appointments and Final review. On desktop, a translucent highlight marks the section currently being viewed, including when you go back. Checkmarks keep showing completed or skipped sections. Each configuration step has Skip for now. Draft edits save automatically. If saving fails, check your connection; reconnecting or editing retries. Skip for now opens the next step in order, including when you revisit earlier steps. Skipping does not apply a draft or undo settings already saved. If a revisited completed/skipped step is missing configuration, Continue saves its draft and opens the next step without applying incomplete changes. The saved checkmark stays unchanged. Until you select Finish on the final review, returning to the CRM restores your saved step. There is no setup button in the header after completion; use each feature’s settings for later changes.

The optional Your Assistant step pairs your own WhatsApp number separately from customer channels and the customer AI agent. Choose Verify number, send the exact verification message from your number within ten minutes, then check the saved verification status. Opening WhatsApp alone does not verify it. You can skip pairing and return through AI Home → Settings → My access and notifications. Pairing does not enable notifications or approve business actions. See Assistant pairing.

Review CRM and AI setup

  1. In Smart CRM setup, checked tags and stages are included. Click a recommendation to include or exclude it. Use × on a tag or the stage’s trash button to remove it from this setup selection.
  2. Add your own stage or tag by name and color. It appears alongside the defaults. You can rename or recolor stages in the list. Removing a setup item does not delete existing CRM records.
  3. In the AI agent step, choose the response mode and add business context. Replies use the platform’s friendly style; there is no tone selector. Review and publish business-context drafts on AI Agent.
  4. Check AI replies balance, then Refresh balance if needed. The trial allowance is separate from remaining replies. Pending means trial credit is not yet in the wallet; Unavailable means loading failed. Contact support if either persists. An active plan assigned outside checkout does not itself prove a trial grant or reply purchase.
  5. Select Compare plans to compare team, channel and Knowledge allowances. Expand All included features, choose a plan and review monthly renewal consent before payment. Checkout opens inside Replify; activation or reply credit requires verified payment confirmation. Additional reply purchases require an active paid plan.

In Team and launch, check Agent invitation allowance for the plan limit, active agents, pending invitations and invitations available now. The owner is separate; pending invitations use a place. The counts refresh after an invite or with Refresh. Paid-plan activation is required to invite agents; Unavailable means the allowance could not be loaded. Finish appears only on Final review. Its booking page link and embed code appear only when appointments are enabled and a booking URL is available.

Launch checklist

  1. Add your workspace name and industry. Review suggested fields, tags and automations before applying them.
  2. Connect a channel owned by your business.
  3. In AI Agent, choose AI replies only, Automations only, or Both — automation priority. Active human assignments always take priority.
  4. Add approved policies, products, hours and booking information in AI Knowledge.
  5. Configure team assignment and SLA, with an available teammate and escalation administrator.
  6. Add useful customer fields, pipeline stages and appointment services.
  7. Test an FAQ, missing information, a human request, an automation trigger and a booking. Check the reply, owner and next step.

Website language

The homepage defaults to Arabic in the Middle East and Africa, and English elsewhere or when the country is unknown. Use the globe to choose a language; your choice is remembered on this browser. Login and free-trial links carry the current page language into sign-in/signup and first-login setup. In the wizard, use the header globe to switch between English and العربية at any step. Your step and edits stay in place; existing business text is not translated. Direct Arabic, Help and Journal links keep their language.

Use the navigation

On desktop, the floating sidebar starts as an icon rail. Hover over it or reach a link with the keyboard to expand it; it collapses when you leave. If hovering does not reveal labels, use Tab to focus a navigation link. Account and profile menus keep it open while in use. Gold group headings use compact spacing and become separators in the collapsed rail. Workspace Settings opens from the header gear beside the social shortcut. Reduced-motion preferences remove the expansion animation. On mobile, use the menu button or More. Profile, Settings and Sign out stay at the bottom.

Find settings

  • Open Workspace settings. Search in English or Arabic; Ctrl+K / Cmd+K focuses search.
  • Choose a section to open its editor. Only sections allowed by your role appear.
  • Save before leaving, refreshing or switching workspaces. Closing an editor preserves its draft on this page but does not save it.
  • Open Personal → Appearance to choose Dark, Light, or System. Dark is the default when this browser has no saved preference. The header sun/moon button switches immediately; your choice is saved on this browser. System follows the device. Light uses ocean-blue actions, emerald success states, soft blue and mint highlights, navy text and neutral surfaces; dark retains its navy/gold palette. Dark-mode switches use pale cream thumbs with amber tracks when on and slate tracks when off; the thumb position also indicates the state.
  • Status messages appear at the top center and follow your appearance setting. Green indicates success, red an error and amber a warning; the icon and text also identify the status. Longer messages expand to show the full details.
  • Email changes require confirmation.
  • Use the page and settings map for AI Home, WhatsApp and Social Home. Each setting has one editing location beside its workflow.
