WhatsApp shared inbox: manage one number as a team

Give each customer conversation a clear owner. A practical shared-inbox guide for WhatsApp teams, from connection readiness to handoff and follow-up.

Separate message paths converge into one organized inbox tray

A WhatsApp shared inbox brings conversations from a connected business number into one workspace for the team. Its practical value comes from knowing who owns each request, what happened and what needs to happen next.

If several people can read the messages but nobody owns the follow-up, shared access has only moved the coordination problem. Start with one connected number and a clear assignment process.

Decide whether the app or a team inbox fits

The WhatsApp Business app and its linked-device options provide app access. A shared-inbox platform adds its own operational model: assignment, internal notes, customer context and deadlines.

Before changing a working number, check the supported connection method, provider requirements and whether any app coexistence option applies to that number. Do not assume every setup keeps the phone app working in the same way.

Use the Replify WhatsApp channel guide to check current connection and sender rules. Replify also supports other social channels, with different messaging, publishing and analytics capabilities per network.

Confirm the exact business number

  1. Open Channels, choose WhatsApp and follow the available connection process.
  2. Check the intended business number, connection state and permissions.
  3. Give multiple connections clear names and choose the appropriate primary profile for new work.
  4. Confirm the sender attached to an existing conversation before replying.

An existing conversation keeps its pinned sender. Templates and other outgoing operations need the correct explicit profile where required. A connected number is not proof that every sender-dependent feature is ready.

Give each active conversation an owner

Open Inbox and start with All, My tasks or Unread. Use filters for channel, status and assignee when the queue grows.

In Replify, one task is active per conversation. AI and teammates retain that task when ownership changes. Human or administrator ownership pauses automated replies.

Before replying, read the owner, recent messages and handoff summary. Use Notes → Add note for internal details; notes do not go to the customer. Use the composer for customer replies and review inserted snippets or templates before sending.

See shared-inbox ownership and SLA for the current controls.

Set assignment and response deadlines

Open Settings → Inbox operations. Auto-assignment can use least-active or round-robin selection. If no eligible teammate is available, work stays Unassigned; it should remain visible for review.

Set the first-response target, warning, availability timeout, overdue reassignment and escalation limit. The team response deadline starts when work reaches the team.

Do not measure an unanswered AI handoff as completed work just because it moved queues. Check Admin required, Blocked and overdue items before the shift ends.

Use a simple handoff format

This is a synthetic team example:

  • Request: a customer wants to change an appointment.
  • Known context: the customer and relevant booking are identified.
  • Missing decision: the preferred replacement time still needs checking.
  • Owner: the assigned teammate.
  • Next action: check actual availability and confirm the next step with the customer.

For a conversational AI handoff, the customer requests a person or accepts the specific transfer offer. Missing information alone is not approval. Manual assignments and failure routing have separate rules.

When a person takes over, keep their ownership until the task is resolved or explicitly returned to AI. Use Assign to AI when it can safely continue. The handoff guide explains notices, optional return timers and protected cases.

Check outgoing eligibility and delivery

Sender identity, provider reply rules, approved templates and Do not disturb still apply in a shared inbox. Sharing a number with a team does not remove those conditions.

Do not disturb suppresses outgoing messages while incoming messages continue to arrive. Turning it off does not replay suppressed sends. A saved handoff can succeed even when the customer notice fails.

If a delivery result is uncertain, establish what happened before retrying. A generated response, saved draft or task update is not a delivery receipt.

Close work with a useful outcome

Record what was resolved, what is still waiting and who owns any remaining step. Close the task when appropriate; quiet closure does not prove resolution.

After closure, a new customer message creates a linked task. Completed tasks stay closed. Keep durable contact facts in the CRM and concise operational details in internal notes.

Review the oldest unassigned work, missed deadlines and incomplete handoffs weekly. Use the findings to improve CRM workflow automation or your Arabic AI customer-service setup.

Common questions

Frequently asked questions

How is a shared inbox different from linked devices?

Linked devices provide access to the WhatsApp app. A team inbox adds its own workflow for assignment, internal notes and follow-up. Check connection and coexistence requirements before changing how your current number is used.

Can a workspace use more than one WhatsApp number?

Replify supports multiple connected WhatsApp numbers. Existing conversations keep their pinned sender; select the exact number for new work, templates, broadcasts and automations, subject to workspace and provider readiness.

Does a closed task mean the customer issue was resolved?

No. Closure records the task state. Record the actual outcome separately; quiet closure does not prove resolution. A new message after closure starts a linked task and completed tasks remain closed.
