CRM workflow automation connects a defined event to a repeatable action, such as assigning an inquiry or updating a contact. Start with one workflow, a clear owner and a way to verify the result.
For customer teams, the useful outcome is a follow-up that happens, a record that stays accurate or an inquiry that reaches the right person. More automation runs are not a business result.
Choose one workflow and define its outcome
Write the rule in plain language:
When this event happens, and these conditions are true, perform this action, assign the next step to this owner and record this result.
These are planning examples, not a promise that every trigger or action is available in every workspace:
| Customer task | Condition to check | Intended action | Evidence to review |
|---|---|---|---|
| Route a new inquiry | Topic and eligible teammate are known | Assign the conversation | Current owner and timeline |
| Organize a lead | A verified field matches the rule | Add a relevant tag | Updated contact record |
| Follow up on a deal | The supported trigger and required fields are available | Prepare the next follow-up step | Owner, timing and recorded outcome |
Confirm the actual trigger/action list in your workspace. Avoid several workflows writing the same field or sending competing replies.
Build an inactive automation in Replify
- Open Automations and create an inactive draft.
- Select one trigger and narrow its conditions.
- Add actions in their required order. Use a branch or wait only when the task needs it.
- Decide whether the workflow updates records silently or owns the customer response.
- Add a failure branch or human assignment for external calls and sends.
- Check matching and non-matching events, duplicate events, failures and human-owned conversations.
- Activate for a small audience, then review execution logs, record changes, ownership and delivery results.
The first automation guide provides the exact setup path and current message-action rules.
Separate CRM updates from customer replies
A silent tag or record update can improve context while customer AI continues. A message, assignment or explicit response claim can change who owns the turn.
Active human ownership pauses automated replies. Decide what happens when the conversation reaches the team and who can return it to AI. The shared-inbox ownership guide explains assignment, availability and response deadlines.
Customer AI replies and merchant Assistant work also have different roles. An Assistant preparing an inactive automation draft is not the same as an active workflow sending to customers.
Prevent duplicate work
Idempotency means processing the same event twice does not repeat its business effect. Provider retries and repeated clicks make this important.
For each workflow, identify the business event, what counts as already handled and whether a retry is safe. Do not treat every contact edit as a new inquiry. Keep one active conversation task rather than generating a new follow-up for each repeated event.
When connecting external systems, use their supported event identifiers and deduplication controls. Do not assume every integration exposes the same settings.
Protect customer data and sender identity
For each changed field, define its source, allowed values, who may overwrite it and which workflow uses it next. Keep durable customer facts separate from a temporary classification. The contacts and pipelines guide covers the current product workflow.
For WhatsApp actions, an explicit sender must own the conversation, and templates must be approved for that sender. Leaving the sender unset retains the conversation's sender and the workflow's multi-channel behavior.
Do not disturb blocks outgoing messages while incoming messages still arrive. A suppressed send does not create a reply wait, and disabling DND does not replay it. Keep consent, channel eligibility and provider limits in the design.
Handle failures before expanding
Distinguish a temporary failure from missing data, an expired permission or a business exception. Retry only when the operation is safe to repeat. If a provider outcome is uncertain, establish what happened before sending again.
A handoff can be saved even if its customer notice fails. A successful record update does not prove message delivery. Review the actual state and delivery evidence, not only the workflow's final label.
Measure the result
Track completed follow-ups, response deadlines, duplicate work, manual corrections and failed actions. Compare a defined period and audience. Do not claim conversion or time-saving improvements without evidence.
Review a small sample with the team, fix the recurring cause and retire obsolete workflows. Keep an owner and review date for each active automation.
